Glenlyon Norfolk School’s Round Square Conference

Glenlyon Norfolk School in the city of Victoria, on Vancouver Island, British Columbia, Canada is looking forward to hosting the Round Square Conference for 12 to 14-year-olds from April 30 to May 6, 2020.

We are excited to announce the conference theme: “Nature is our home and where adventure begins.” With this focus on the Environmental and Adventure Pillars of the IDEALS, we hope to share with our conference delegates the beauty of the natural world and to empower them to protect it.

Our theme and logo were created by some of the student organizers of this conference: we want our delegates to be at home with us, and to feel ready and comfortable to take some adventures in our beautiful coastal ecosystems of southern Vancouver Island.

About Glenlyon Norfolk School (GNS)

With more than 700 students from over 47 countries around the globe, Glenlyon Norfolk School promotes an environment where diversity is embraced and having a global outlook is encouraged. Located in beautiful Victoria, British Columbia, GNS is an IB World school with a family feel. A coeducational day school for students from JK to Grade 12, students live and work with individuals from a diverse range of backgrounds and perspectives, creating powerful bonds of friendship while contributing to a community that cares. Conference Details

Delegation Size

Schools may bring a maximum of 2 student delegates and 1 adult delegate. We will not have a separate program for Heads of Schools. We look forward to hosting a total of approximately 150 student and adult delegates, and will offer the first opportunity for registration to the Americas region by September 4, 2019. On October 2, 2019 this will extend to the wider Round Square world.

Arrival and Departure: Time and Place

We ask our delegates to arrive into Victoria International Airport if travelling by air, or into Swartz Bay Ferry Terminal, if travelling by BC Ferries, on Thursday, April 30, between 12 p.m. and 5 p.m. Please arrange to depart on Wednesday, May 6, from Victoria International Airport or Swartz Bay Ferry Terminal between 12 p.m. and 5 p.m. If you arrive/depart during the times indicated, we will arrange for your delegation’s transport to and from our school/Camp Qwanoes, by our school buses or a contracted bus or taxi company.

We will not be arranging any pre- or post-conference tours, but we encourage you to set up your own adventures.

Accommodation and Cost

From Thursday, April 30, to Monday, April 4, student delegates will be placed in GNS family homestays in pairs. Adult delegates will stay at the Hotel Grand Pacific in nearby downtown Victoria, at a reduced rate of $179 CAN per night, based on single or double occupancy, plus applicable taxes of 17.16%. Details about how to register at a conference rate will be provided once your delegation is confirmed.

From Monday, April 4 to Wednesday, April 6, all delegates will be at Camp Qwanoes in Crofton, BC, approximately one and a half hours by bus from Victoria.

  • Student Conference Fee: $900
  • Adult Conference Fee: $1100 plus hotel
    *If adult delegates would like us to match them with a roommate of the same gender to share a hotel room, please let us know.

Registration Steps

  1. To reserve your school’s spots at the conference, please fill out and submit the Letter of Commitment.
  2. Conference Fees will then be due: upon registration (October 1, ongoing, closing all reg December 1).
  3. Full student registration will take place, including medical intake and acknowledgement of risk and informed consent (with preliminary conference risk assessment) via our website by October 1.
  4. Book your hotel for adults by March 1, 2020.
  5. Submit your travel information via Google form by March 15, 2020.

Cancellation Policy

By signing and returning the Letter of Commitment you will be formally committing to your schools’ attendance at the Round Square Conference in April to May 2020 and to bring the number of delegates outlined in this letter. Please take note you will be charged for the number of delegates you have registered and payment will be required before the outlined deadlines.

You must make every effort to ensure that you bring your requested delegation size, including replacing delegates who no longer can attend due to unforeseen circumstances.

If for any reason you do need to cancel or amend your booking, you should appeal in writing to the conference host.

The cancellation schedule is as follows:

  • Cancellations until January 15, 2020 will receive a 50% refund.
  • Cancellations until February 15, 2020 will receive a 25% refund.
  • From February 16, 2020, no refunds will be issued.

Please remember the conference fee is only transferable to a substitute from the same school.
